We are looking for a detail-oriented, proactive professional to support our escrow department within a boutique setting. In this role, you will be essential to the seamless execution of real estate transactions by managing file workflows, coordinating directly with all transaction participants, and ensuring files are fully prepared for closing. The ideal candidate thrives in a high-touch, fast-paced environment, possesses strong administrative acumen, and is dedicated to delivering a superior, personalized client experience.

Key Responsibilities

Transaction Preparation & Coordination

  • Evaluate lending directives and draft preliminary Closing Disclosures (CD) for financed property transactions.

  • Generate Settlement Statements for all cash deals and provide final financial figures to buyers and sellers for verification.

  • Acquire and audit final mortgage paperwork from lenders to ensure absolute precision.

  • Collaborate with legal counsel for deed and release generation, and compile miscellaneous title and builder paperwork.

  • Collect required seller signatures, verify government-issued identification, and process secure payments.

Closing & Funding Support

  • Provide operational support by stepping in as an alternate closer when required.

  • Secure formal funding authorization from various lenders on residential deals.

  • Reconcile transaction ledgers, issue checks, and allocate funds appropriately.

  • Authorize outgoing wires for loan payoffs, seller proceeds, and agent commissions.

  • Provide immediate confirmation to buyers, sellers, and real estate agents once funding is complete.

Post-Closing, Compliance & Administration

  • Organize, package, and return completed loan files to lenders according to their specifications.

  • Utilize digital platforms to submit official documents for electronic recording.

  • Upload fully executed contracts, recorded instruments, and financial records into internal tracking systems for digital archiving.

  • Track incoming and outgoing wire alerts and support the accounting team with monthly three-way bank reconciliations.

  • Route necessary paperwork to the underwriting department to trigger the issuance of final title policies.

  • Formally close out and archive files once all releases are recorded, policies are distributed, and accounts maintain a zero balance.

  • Offer professional phone coverage and front-desk backup assistance during staff breaks.

Qualifications & Skills

  • Preferred - active Escrow Officer License and Notary Public commission.

  • Demonstrated experience working within title insurance, escrow processing, or mortgage closing environments.

  • Familiarity with modern title production platforms and electronic recording software.

  • Excellent mathematical and balancing capabilities, strong organizational skills, and clear communication habits for handling boutique client inquiries.
