Job Description
The Customer Support Specialist - Sales is an essential part of the Sales team and supports their efforts throughout the entire sales process directly contributing to the company's revenue. As a Customer Support Specialist - Sales, you will be the company's liaison between the Account Manager, prospective and existing customers, and the sales team. The Customer Support Specialist - Sales is an essential part of the Customer Support and Sales team, providing the highest level of customer support to ensure continued customer acquisition, retention and service.


Duties and Responsibilities
  • Ensure customer acquisition and retention, as well as continued service satisfaction, which directly impacts the revenue and sustainability of the company.
  • Collaborate with the sales team by comparing and evaluating the best course of action to ensure accuracy of customer data.
  • To ensure accuracy of customer data and preparation of weekly and monthly sales reports (Zoho CRM).
  • Maintain open communication with sales teams and management to ensure ongoing customer satisfaction.
  • Provide guidance, suggest improvements and outline next steps to ensure completion of the sales process.
  • Thoroughly understand all sales processes, products and cross-functional operations.
  • Ensure customer satisfaction throughout the company-customer relationship.
  • Work independently and as a problem solver with minimal supervision in order to work with customers to ensure timely and complete payments and/or any transactions in the
  • context of the "deals” being executed.
  • Proactively follow up with customers and/or account managers (ADs) throughout the sales process to gather all necessary documentation from the customer.
  • Follow up with ADs to obtain lead availability to schedule an Information Request Form (IRF) call.
  • Ensure customer information, sales progress and communications are in Zoho CRM, and work with the sales team to ensure they are consistently and accurately using Zoho CRM.
  • Manage all necessary sales records, manuals and reports to ensure excellent internal and external communication.
  • Notify and coordinate meetings or presentations with Account Directors (AD's) when necessary.
  • Maintain an accurate customer file and Box filing system for all lead and customer documents.
  • Leads and clients including, but not limited to, reports, financial reports, presentations and communications, etc.
  • Send documentation such as non-disclosure agreements and service agreements with wiring instructions for initial payment right after presentation to prospects, customers, clients, consultants, and/or other individuals involved in the sales process using Zoho ign or other company approved tools.
  • Participate in internal prospect/customer meetings to make suggestions, document next steps for customers and store important information.
  • Facilitate ongoing customer communication via email and other platforms in order to promote the company's services.
  • Proactively review, update and suggest improvements to the sales process as needed.
  • Provides consulting services support as needed.
  • Performs company projects and assists others when assigned by management.
  • The Customer Support Specialist - Sales will cover for the Customer Support Supervisor as needed, and will also provide support to PRS customers, Other projects as assigned by the Customer Support Supervisor, Director of Operations and/or Company Management.

Requirements
  • Bachelor's degree in Marketing, Communication, Business Administration or Advertising.
  • Minimum of three (3) years of work experience, preferably in coordination of projects, activities. If you do not have a Bachelor's degree, you may be considered with an associate degree, but you must have a minimum of five (5) years of work experience, preferably in project coordination, activities, services, office administration or related fields.
  • Solid knowledge of computer programs such as Windows, Microsoft Office, Outlook and Internet, extensive experience in Excel and PowerPoint.
  • Interpersonal skills to manage confidential information and documentation with professionalism and discretion.
  • Thorough attention to detail in writing, typing and proofreading materials.
  • Ability to organize priorities and meet responsibilities within established deadlines.
  • Communication skills to attract customers, strengthen business relationships and foster loyalty to the company.
  • Commitment to teamwork and customer service excellence.
  • Ability to handle multiple tasks simultaneously and manage complex projects with minimal supervision.
  • Proactive and empathetic approach to customer and colleague service, ensuring respect, courtesy and integrity in every interaction.
  • Strong command of Spanish and English, with excellent writing, grammar and spelling skills.
  • Exceptional oral and telephone communication skills in Spanish and English, ensuring clear and effective interactions.
